HEAD LIBRARIAN

Reports to: Director of Operations and Community Engagement
Supports:  Music Director, Operations Staff, Personnel Manager, Musicians
Supervises:  Assistant Librarian, Bowing Assistants


Duties include:
Music Preparation and Distribution:
-Order rental music and perusal music and return it promptly after use
-Order, catalog and maintain library of purchased music for orchestra and chorus
-Provide scores for conductor, assistant conductor, and cover conductors
-Confirm editions and keys with conductors/ soloists
-Check wind parts for doublings and alert personnel manager of additional needs
-Confirm actual instrumentation with that listed in OPAS/ Daniels
-Prepare music including routing master string parts through string principals, copying bowings into section parts, making practice copies for inside strings, fixing page turns and marking corrections
-Make music available to in-town musicians according to CBA deadlines
-Mail music to out-of-town musicians
-Provide music for audition committees and candidates
-Provide study parts/ scores for musicians
-Provide music for MSO chamber ensembles
-Provide music for any choruses/ other ensembles that are performing with the MSO

Concert duties:
-Attend or designate an assistant librarian to attend every orchestra service
-Transport folders that have not been picked up by musicians to all services and distribute folders at least 30 minutes before the service
-Bring the conductor’s scores to the podium 10 minutes before the concert
-Clear the stage of all music after each rehearsal as required and after each concert

Office Duties:
-Maintain OPAS library, program and recording databases
-Create music purchase, rental, and arrangement budget
-Provide copies of archived recordings upon request by eligible musicians
-Create CD work-samples for grant requests
-Upon request, provide musicians with recordings of unusual works on the season
-Document MSO performances with licensing agencies ASCAP and BMI quarterly
-Obtain licenses for recordings and broadcasts or research the information for producers
-Maintain Overture Magazine archive and bind each season’s published material
-Complete award applications for ASCAP annually and others as requested

PART-TIME PR MANAGER

MSO is seeking part-time public relations professional to assist it in its public and media relations efforts.

  • Must have a proven ability to write and edit media materials.
  • Must develop and manage appropriate media relations plans for institutional and concert specific activity.
  • Secure story placement in print, TV, radio and internet/web media both local and national.
  • Arrange interviews of guest artists with regional media.
  • Develop opportunities for orchestra members/staff to speak in the community,etc.
  • Work with reviewers/critics to give appropriate backgrounder material.
  • Have established and be able to cultivate media relationships.
  • Develop media kit for executive staff, music director and concert specific guest artist.
  • Provide concert & media duty and monitor still and video photographers, reporters and crews at events.
  • Monitor and archive media coverage. Reporting PR story placement value each month.

Must demonstrate good story placement abilities and strong writing skills.Knowledge of classical music and/or arts/performance media experience a plus. Must be able to handle multiple projects in a deadline-oriented environment.Position reports to Director of Marketing and works with staff on various projects.
